This privacy policy explains how Bolton Property Services (“we”, “us”, “our”) collects and uses your personal information when you use this website (boltonpropertyservices.co.uk), ask us for a quote or use our services. We are the data controller for this information.

The information we collect

  • Enquiry and quote details: your name, email address, phone number and the details you give us about the work you need, when you fill in our quote form, call, email or message us.
  • Job details: the address of the property, access arrangements, photos and other information we need to quote for and carry out the work.
  • Payment and invoicing records: invoices, amounts paid and payment dates. We do not collect card details through this website.
  • Technical information: when you visit the website, our hosting provider automatically records basic information such as your IP address, browser type and the pages you visit, for security and to keep the site working.

How and why we use your information

We only use your information where the law allows us to:

  • To reply to your enquiry and give you a quote, because you have asked us to (steps before entering into a contract).
  • To arrange and carry out the work, invoice you and deal with any guarantee or aftercare issues (performance of a contract).
  • To keep financial and business records we are required to keep by law (legal obligation).
  • To run, secure and improve our website and business, and to protect against fraud and spam (our legitimate interests).

We do not sell your information, and we will not send you marketing messages without your permission.

Who we share it with

We only share your information where it is needed for the purposes above, with:

  • Tradespeople who carry out work for us on your job, including Gas Safe registered engineers and NICEIC approved electricians.
  • Service providers who support our business, such as our website host and our email provider (Google). They may only use your information on our instructions.
  • Our accountants, insurers and professional advisers, where needed.
  • Regulators, the police or other authorities, where the law requires it.

Some of our service providers, such as Google, may process data outside the UK. Where this happens, they use safeguards approved under UK data protection law.

How long we keep it

If you make an enquiry but we do not go on to do any work for you, we delete your details within 12 months. If we carry out work for you, we keep job and financial records for 6 years after the end of the financial year in which the work finished, as required for tax and accounting purposes and in case of guarantee claims.

Keeping your information safe

We take reasonable technical and organisational steps to protect your information, including restricting access to it and keeping our website and systems secure and up to date.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict or stop using your information, or object to how we use it;
  • ask us to transfer your information to someone else; and
  • withdraw any consent you have given us at any time.

To use any of these rights, please contact us using the details above. We will reply within one month. There is normally no charge.
